Wedding photography quotation: template, format & example

A wedding quotation for photography needs more detail than a simple price list. Multiple functions, teams, deliverables, travel and payment milestones should all be clear before the date is blocked for the client.

COVERAGE

Quote every wedding function explicitly

The client should know which functions are covered and which are optional. This is especially important when the enquiry grows from a one-day wedding to several events.

Wedding ceremony coverage

Reception coverage

Wedding photography quotation format

A useful order for the document is: client and event details → functions and dates → package inclusions → deliverables → add-ons → travel → pricing → advance and balance → validity → cancellation/rescheduling terms.

Deliverables

State expected edited photographs, album size/pages, film length, reels, teaser/highlight deliverables and estimated delivery timelines.

Travel and accommodation

For outstation weddings, say whether travel, local transport and accommodation are included or billed separately.

Advance, balance and date blocking

Explain how much advance confirms the booking, when the balance is due and whether the date remains available until the advance is received.

Wedding quotation FAQs

What should a wedding photography quotation include?

It should clearly list the functions being covered, coverage hours or dates, photographers and videographers, deliverables, package price, add-ons, travel costs, advance payment, balance payment, validity and cancellation/rescheduling terms.

How much advance should a wedding photographer ask for?

There is no universal percentage. The advance should reflect your business model, event date risk and local market. Whatever amount you choose, state it clearly in the quotation together with the due date for the remaining balance.

Should travel and accommodation be inside the package?

For outstation weddings, showing travel and accommodation separately often makes the quotation easier to understand. If they are included in the package, say so explicitly.
